Intranet based Project Document Management System software
Client needed Document Management System software to keep information about all of their project documentation in the form of projects' documents, images, news and events on intranet. The application had a default super user who has all the access rights of the application. The application had default access rights groups. Super users must be automatically assigned to this group. He/she should be allowed to manipulate the project documents and users for the application. There should be provision for data analysis and reporting.
Our Solution
We developed a web based Document Management System software for the needs of the Client. While developing the DMS application we gave special attention to create a user friendly interface, robustness, scalability & security of the application. We used the XHTML 1.0 according to W3C standards for presentation/User Interface.
We have also applied URL encryption throughout the application this way we can prevent malfunctioning from the unauthorized users. We have implemented following two sections of the application. Users of the document management system software have different provisions under them to meet the requirements of the Application.
Registered User Interface
Restricted Access for the registered users only. New users/First time users enter the access key provided through email from the administrator. On entering this key they become regular user of the application
After successful login users see the list of projects for which they have the access rights. For those projects they can manipulate the categories, news and events.
Advanced SEARCH facility across the application as well as sorting on table columns so user can easily reach to desire data to view or edit them.
There is calendar and List mode to show events
Lock/Unlock facility: If user has the unlock access then while modifying any document other users can not modify until that user unlocks it. If another user sees a document locked then he can send the email message to the user who has locked it.
Users are able to download the documentation of the project they need.
Back-Office (Administration)
Super user can manipulate users and projects to the document management system. Other registered users can log into but they can only see those links for which access is granted
To add multiple users to the software each registered user can create the self-registration where he/she will put the unique access key. This information will be sent to emails entered.
While sending this information user can select access right like " Add to Default Group, Can view all projects , Can edit all projects, Can administer projects , Can unlock documents, Can administer ser accounts, Can administer 'self registration', Can administer email / reports" for the users who are going to get the information in their email account.
While manipulating project documentation users are able to include all categories like Image library, Documents, News & Events or any one of them. They can assign users for the project. They can assign default user group and inherit other projects' users for that project. They can copy, edit or delete the projects
There is a facility for mass emailing the users. They can send an email to users of all projects or default group users or of particular project or all of them together.
There is a provision for reporting project wise where they can see no. of users, documents, images, news and events for that project.
