The digital or electronic document management system is a computer based software that is used to manage and store electronic documents or images of people documents. It is commonly a part of an enterprise content management solution related to data content management, document imaging and workflow and record management systems.
As physical or paper based documents occupy a lot of space and are difficult to access, digital document management has gained popularity. Documents are converted into the data format in various ways like scanning, typing etc. Once the paper based records are converted into electronic format they are ready to be managed using addition to document management system.
The DMS arranges these documents into various folders with a folder structure in place. The access to these electronic files is controlled by access rules. The documents can be modified using workflow and processes. Meta information can be added to these to help in the search process. The documents can be versioned and to view the history of document modification. Audit trails can be added to have complete information on the access and modification logs.
