What is a Knowledge Document?
A knowledge document is a dossier that has been created to maximize the its use as a potential knowledge source. It is created in a structured way so that it is easy to sift through the information provided by it A
Knowledge Document typically consists of :
- Title
A title is a summary of the whole document content compacted in a sentence or less. This gives a basic idea of what is contained in the document.
- User defined Fields
These are customizable fields created on the fly that define the structure in which the information shall be stored. These can contain the content itself or the Meta information related to it. For e.g. the fields can be like Problem, Solution, Contact information etc. This gives users the freedom to add information in the format that is most suitable.
- Any number of user defined Search Keywords
Search keywords are most effective way of finding relevant documents from a pool of information. While creating a document, one can add keywords related to the content. If someone searches for these words, he will easily find the relevant documents.
- Any number of File Attachments
Information is often supported by a large number of documents that are attachments. The knowledge document can have number of attachments in multiple formats. A better KMS solution will provide the option to be able to search through them, it to add meta keywords to them.
- Author Identification
On most occasions, human attributes to information are easily remembered like who created a particular document, who modified it? Author identification is a very strong key to unlock the apt information in a pool of information
- Timestamps
Event dates are another important way of finding information. Things like date of creation, modification etc. are crucial attributes that can help filter searches in a narrow window of time and thus saving a lot of effort.
